All Corporate Correspondence is created using Enriched Email Client. Both, enriched email messages and regular email messages can be created using Enriched Email Client.

Only enriched email messages and their attachments can  be followed or used by other corporate users to generate reviews and reports of the eCTD Integral Information System.

Using Enriched Email Client each corporate end-user can decide:

  • Whether to send a enriched or regular email message and therefore create or not create a Corporate Correspondence that can be followed and used by others
  • Whether to processes the received regular email message to become an enriched email message, and therefore to create a Corporate Correspondence that can be followed and used by others
  • Whether to leave the regular email message unenriched, and thus not to create a Corporate Correspondence that can be followed and used by others

Using Enriched Email Client each corporate end-user cannot:

  • Reprocess his sent enriched email message to become a regular email message
  • Delete a sent or received enriched email message 
  • Subsequently process his, once received and enriched regular email message, to become a regular email message again

With respect to the participants of the correspondence, Corporate Correspondence can be:

  • external - at least one correspondence participant must be from a non-corporate entity  
    • created within the corporation and sent to the Health Authorities and other Business Partners
    • created by Health Authorities and other Business Partners and sent to the Corporation
  • internal - all participants must be from corporate entities
    • created within the corporation and sent to other correspondence participants within the corporation

Enriched email messages


Each enriched email message is stored on the dedicated Classical Corporate Email Server with all regular email data.

Also, each enriched email message is stored in the eCTD Integral Information System Database as a:

Enriched Email record with:

  • Regular email data
    • correspondents (To, From, Cc, Bcc)
    • dates
    • relation to other enriched email messages (reply, forward)
    • subject
    • text
  • Topic
    • Corporate Entity or
    • Corporate Project
  • Subtopic
    • characteristic of Corporate Entity or
    • activity/event combination of Corporate Project
  • Links to the attached documents stored on the Corporate Documentation Cloud
  • Initiator - enriched email message/notification (optional)

The attached documents of enriched email messages are not stored in the eCTD Integral Information System Database.

The documents attached to a enriched email message are stored on the Corporate Documentation Cloud, and links to them are stored with the corresponding record of the enriched email message in the eCTD Integral Information System.

If the attached enriched email message attachment is the basis for creation document for creating the Corporate Entity, the enriched email message becomes the basis for creation document itself and represents the beginning of the entities creation correspondence chain.

 If the attached enriched email message attachment is the basis for change document for changing the Corporate Entity, the enriched email message becomes the basis for change document itself and represents the part of the entity development correspondence chain.

Enriched email automatic notifications


Enriched email automatic notifications are automatically generated based on business rules incorporated into the eCTD Integral Information System.

Each enriched email automatic notification is stored on the dedicated Corporate Email Server with regular email data.

Also, each enriched email automatic notification is stored in the eCTD Integral Information System Database as a Enriched Email record with:

  • Regular email data
    • correspondents (To, From)
    • dates
    • subject
    • text
  • Topic
    • Corporate Entity
      or
    • Corporate Project
  • Subtopic
    • characteristic of Corporate Entity
      or
    • activity/event combination of Corporate Project
  • Initiator

The enriched email automatic notifications do not have attachments. Since enriched email automatic notifications contain a topic and a subtopic, they can be followed by other corporate users if they choose that option in the Enriched Email Client.

If the enriched email notification is generated as a consequence of the Corporate Entity creation process, it may in itself be the basis for creation of another Corporate Entity and represent part of the entities creation correspondence chain.

Regular email messages


Each regular email message is stored on the dedicated Corporate Email Server with all regular email data.

Also, each regular email message is stored in the eCTD Integral Information System Database as:

Enriched Email record with only:

  • Regular email data
    • correspondents (To, From, Cc, Bcc)
    • dates
    • relation to other enriched email messages (reply, forward)
    • subject
    • text

 Regular email attachments are not stored on the Corporate Documentation Cloud or in the eCTD Integral Information System Database. Attachments are only stored on the dedicated Classical Corporate Email Server.

Regular email messages and their attachments are not Corporate Documents in the sense that they cannot be followed by other corporate users or used to generate reviews and reports of the eCTD Integral Information System.

Regular email messages and their attachments cannot be a part of any correspondence chain.
